Sample Itinerary vs Confirmed Booking
A sample itinerary is not yet a promise, so ask for the confirmed version in writing.
A sample itinerary shows what a Vietnam trip could look like. A confirmed booking is a record that names your dates, travellers, services and price, and that the supplier has agreed to. Only the second is something you can hold a supplier to, so ask for it in writing.
What is the difference?
| Question | Sample itinerary | Confirmed booking |
|---|---|---|
| Purpose | Shows an idea of the trip | Records what you bought |
| Names your dates | Not always | Yes |
| Names the travellers | No | Yes |
| Hotels | Example or similar | Named, or a stated level and area |
| Price | Indicative | The agreed total |
| Wording | “Sample”, “suggested” | “Confirmed”, with a company name |
| Can you rely on it? | Only as a guide | Yes, as the agreed record |
The wording matters. “Subject to availability” and “similar hotel” in a document are signs it is still a sample.
What should a confirmed booking name?
- The travellers, as on their passports.
- Exact dates and the order of the days.
- Each hotel, or a stated level and area, and the room type.
- Meals, transfers and activities, leg by leg.
- The language of the guide.
- The total price, the amount paid and the date the balance is due.
- The cancellation and change terms.
If something is missing, ask for it before you pay more.
How do you get it in writing?
Ask by name: “Please send the booking confirmation for these dates.” Then check each line against what you agreed. A reply in chat is useful, but ask for the confirmation as a document or email too, so it carries the company name. Check the names and dates letter by letter, because a small typing error can cause trouble at check-in.
Keep it alongside your deposit receipt. Read the deposit and payment terms to see what a deposit secures.
What if something in the plan looks unrealistic?
A sample can pack too much into a day. Test the plan with the travel day checker before you confirm, and look at how long each leg really takes. A calm schedule matters more than a long list.
What do you do next?
If the offer came from an old post, check it is still offered. Read the cancellation and change policy checks before you pay the balance. For more questions, use the questions to ask before accepting a quote, or browse the Booking and travelling well hub.

Common questions
What is the difference between a sample itinerary and a confirmed booking?
A sample itinerary shows what a trip could look like, so places, hotels and times may change. A confirmed booking names your dates, your travellers, the services bought and the price, and the supplier has agreed to provide them. Only the confirmed document is something you can hold the supplier to.
Can a sample itinerary be used as proof of what I bought?
Usually not. If it says 'sample', 'suggested' or 'subject to change', it describes an idea. Ask for a document that lists your name, your dates and each service, with the word 'confirmed' and the supplier's company name. Keep it with your payment receipt.
What should a confirmed booking include?
It should name the travellers, the dates, each hotel or its stated level, the room type, the meals, the transfers, the activities and the guide language. It should also show the total price, what has been paid, when the balance is due and the cancellation terms.
What if the hotel changes after I confirm?
Ask the agency before you travel what they will do if a hotel is replaced. A fair answer offers a similar or better level in the same area and tells you in writing before the change is made. Ask for this to be in the confirmation, not only in a chat.
When should I ask for the confirmed version?
As soon as you pay the deposit, and again after the balance. Ask the agency to confirm what the deposit secures. If they only send a sample, ask for the booking confirmation by name. A reliable agency will understand why you want it.
