Before you pay

Vietnam Tour Cancellation and Change Policies

Plans change, especially with elders or young children, so check the exit terms before the deposit.

Before you pay a deposit, ask six questions about cancellation. They cover the deposit, the change window, the refund route, weather, illness and flights. Get each answer in writing.

What six questions cover the policy?

  • Deposit: is it refundable, partly refundable or lost, and does that change as the date nears?
  • Change window: until when can you change dates, names or hotels, and at what cost?
  • Refund route: if you do get a refund, how and when is it paid?
  • Weather and closures: what happens if a day is lost?
  • Illness: what if a traveller cannot go?
  • Flights: are they bound by the same terms as the tour?

If one answer is vague, ask the agency to rewrite the clause so it names a date or an amount.

How should you read the weather clause?

Vietnam is affected by 6 to 8 typhoons or tropical cyclones per year1. On the central coast, Da Nang lists its wet and typhoon season as September to December2. If you travel in those months, read this clause with extra care.

Ask whether you get a rebooking, a credit, a refund or nothing for a lost day. Our guide on what if weather ruins a tour day explains how to plan a backup. The weather by month guide helps you pick a safer month.

How are flights different?

Flights follow the airline’s fare rules, not the tour’s. A cheap fare may not allow changes or refunds. Read changing or cancelling Vietnam flights before you buy, and match your flight choice to how flexible the tour is.

What matters most for seniors and families?

  • Ask for a flexible change window, since health and school plans move.
  • Check what happens if an elder cannot travel at the last minute.
  • Ask who to call, and on what number, if a change is needed during the trip.
  • Ask for the policy in the confirmed booking, not just in a chat. See sample itinerary vs confirmed booking.

What if someone falls ill?

Ask whether a doctor’s letter is accepted and what happens to the balance. The answer can differ between hotels, transport and activities, so ask for it line by line. Travel insurance may cover part of it, but read the policy first.

What do you do next?

Read the deposit and payment terms, then run the questions to ask before accepting a quote. Keep the written policy with your receipts, and take a screenshot of the terms on the day you pay in case the page changes later. The Booking and travelling well hub has more checks.

Send us the cancellation terms from your quote, and we can tell you which clauses are clear, which are vague and what to ask before you pay the deposit.

Common questions

What is the first thing to look for in a cancellation policy?

Look for what happens to your deposit. Is it refundable, partly refundable or lost if you cancel, and does that change as the trip date gets closer? Ask the agency to put the answer in writing, with dates, because a general phrase like 'subject to terms' does not tell you.

What is a change window?

It is the period during which you can change dates, names or hotels, and the cost, if any, of doing so. Ask when the window closes and what happens after. A trip with elders or toddlers is easier to plan if you know the last date you can adjust without penalty.

What happens if weather disrupts the trip?

Ask what the agency does if a day is lost to a storm or a closure. Vietnam is affected by 6 to 8 typhoons or tropical cyclones per year. Da Nang lists its wet and typhoon season as September to December. Ask for a rebooking or credit answer in writing.

Do flights follow the same rules as the tour?

Usually not. Flights have their own fare rules, which can be stricter than the tour's. Check the fare conditions before you buy and do not assume the tour's refund rules apply. Our flight change guide explains what to look for in a fare rule.

Should I buy travel insurance as well?

Insurance is a separate decision, and cover and exclusions differ between policies. Read what is covered, especially illness, cancellation and weather, before you buy. The tour's cancellation terms and an insurance policy answer different questions, so check both.
