Splitting a Private Tour Fairly With Friends

Friends join and drop out, so agree a fair split before the money moves.

The fairest split uses three buckets: shared costs divided equally, personal costs charged to the person and room costs charged to the room. Agree the rule and write it down before the deposit. That way, when a friend joins or drops out, you change one number and not the friendship.

What goes in each bucket?

  • Shared: the vehicle, the driver, the guide, fuel and tolls. Divided by the number of travellers.
  • Personal: entry tickets, meals, tips and extras one person chose. Charged to that person.
  • Room: hotel nights. Charged to whoever shares the room.

If you keep the three apart in a shared sheet, any change is easy to follow. The ringgit cost worksheet has rows for each.

What happens when someone drops out?

The shared bucket now divides by a smaller number, so each remaining share rises. The vehicle tier may also change, which can raise or lower the total.

Agree three things before you pay.

  1. Does the person leaving cover part of the gap, or do the others absorb it?
  2. Can a replacement take the place?
  3. Who speaks to the seller?

The answers are easier to give now than in a chat thread at midnight.

What happens when someone joins?

A new traveller lowers everyone’s shared share, but you may cross into a larger vehicle. Ask the seller to re-quote at the new party size. If the extra step is small, share it equally. If it is large, ask whether the late joiner pays more.

Our guide on private tour price by group size shows how the shared bucket behaves as the party changes.

How do you handle the exchange rate?

Pick one conversion date and use it for everyone. Vietnam’s currency is the dong, VND2, and Bank Negara Malaysia’s page showed MYR 0.0158 per 100 VND on 15 October 20261. Rates move, so the date matters more than the exact number.

If the seller quotes in ringgit, ask whether the price is fixed or converted later.

How should you hold the money?

Choose one organiser and one shared sheet that everyone can see. Pay the seller from a single account, in the company’s name, and keep every transfer slip. Do not pay into a personal account unless you have checked the seller is genuine.

What should you check before the first transfer?

  • The split rule is written and everyone has replied “agreed”.
  • The room plan is final, or the rule for changes is clear.
  • The refund terms for a drop-out are known.
  • The seller’s quote is itemised, so shared and personal lines are visible.

To understand why a quote moves, read why a private tour price changes with group size. To compare against a group departure, see private vs group tour cost. Use the trip budget builder to keep your own totals straight. The wider topic is in Costs and package value.

Common questions

What is the fairest way to split a private tour?

Use three buckets. Shared costs, such as the vehicle and guide, split equally across everyone. Personal costs, such as tickets and meals, go to the person. Room costs go to the room. Write the rule down before anyone pays, so no one is surprised later.

What happens if a friend drops out after we pay a deposit?

Agree this first. The remaining travellers may carry a larger share of the shared costs, and the deposit may not be refundable. Decide whether the person who leaves covers the gap, whether a replacement can take the place and who deals with the seller.

What if someone joins late?

A late joiner lowers everyone's shared cost, but the vehicle tier may change. Ask the seller to re-quote at the new party size and share the saving or the extra step with the group. Agree in advance that late joiners pay the same share.

How do we handle the exchange rate?

Vietnam's currency is the dong, VND. Bank Negara Malaysia's page showed MYR 0.0158 per 100 VND on 15 October 2026, and the rate moves. Pick one date for the conversion and use it for everyone, so the split stays the same.

Who should hold the money?

Choose one organiser and a shared sheet that everyone can see. Pay the seller from one account, in the company's name, and keep every transfer slip. Never pay into a personal account unless you have checked the seller is legitimate.
